Gallery Policies and Guidelines

  1. Eligibility: Use of the hall for exhibitions will be subject to approval by a designated committee.
  2. Reservation Payment: Halls can be reserved only after full payment is made in advance.
  3. Final Decisions: The Board of Management has the authority to make final decisions regarding reservations,
    cancellations, or naming of halls if such actions are deemed harmful to the gallery’s objectives or reputation.
  4. Payment Completion: Payment must be completed after the exhibition application is approved.
  5. Refund Policy: Two-thirds (2/3) of the payment is refundable in case of cancellations made well in advance.
    The specific cancellation deadline will be determined by the gallery.
  6. Payment Exemptions: Payment is mandatory for all exhibitions except those organized directly by the Art
    Gallery. However, exhibitions approved by the Faculty of Visual Arts may be exempted with permission
    from the Board of Management.
  7. Financial Compliance: Acceptance and use of funds must adhere to the university’s established financial
    regulations.
  8. Proceeds Contribution: For exhibitions organized free of charge by the Faculty Board or Board of
    Management, 30% of the proceeds from artwork sales must be paid to the Art Gallery.
  9. Responsibility: The individual or organization renting the halls assumes full responsibility for the exhibits.
  10. Exhibit Removal: All exhibits must be removed immediately after the exhibition ends. The gallery is not
    responsible for items left behind.
  11. Submission Authorization: Art Gallery staff cannot accept works, goods, or materials for exhibitions or
    reservations without proper authorization.
  12. Time Restrictions: Staying beyond the reserved exhibition time without prior permission is prohibited.
  13. Security Arrangements: The university’s regular security services will be in place. Organizers may arrange
    additional security for exhibitions if necessary.
  14. Preservation of Facilities: Damage to halls or walls, including marks, traces, or adhesives, is strictly
    prohibited.
  15. Damage Penalties: Fines will be imposed for any damages incurred during the reserved time.
  16. Operating Hours: The gallery is open daily from 8:00 AM to 6:00 PM.
  17. Lobby Restrictions: The lobby area cannot be used for displaying items.
  18. Power Outages: In case of a power outage, exhibition organizers must arrange for a generator. The
    university will reimburse the expense upon submission of the original invoice.
  19. Parking Limitations: Parking is limited to five (5) vehicles. Additional parking must be arranged outside
    the Faculty of Visual Arts.
